Terms & Conditions.

By making a booking, paying the advance, or entering the Botfit venue, you confirm that you have read, understood, and agreed to these Terms.

Botfit Entertainment Pvt. Ltd. operates North India's largest indoor Family Entertainment Centre, located in Sector 60, Gurugram, Haryana, India. We offer birthday parties, corporate events, school trips, and related services.

Bookings & Eligibility

All visits to Botfit are by prior booking only. Walk-ins are not permitted.

Bookings can be made through our website, phone, WhatsApp, or at the venue. A booking is confirmed only after:

  • The applicable advance payment has been received, and
  • Botfit issues a written confirmation (email/WhatsApp).

Bookings must be made by an adult (18 years or older). The person making the booking is the "Event Host" and is responsible for the conduct of all guests, payments, and compliance with these Terms.

Botfit reserves the right to refuse any booking at its sole discretion.

Services Offered

  • Birthday Parties — packages including food, decoration, and celebration services as per the chosen package
  • Corporate Events — team-building, offsites, social gatherings
  • School Trips — supervised group visits for educational and recreational purposes
  • BotCafe — food and beverages

The exact inclusions, pricing, and deliverables for each event will be discussed and agreed in writing with our team prior to confirmation.

Pricing & Payment

4.1 Pricing

Charges are on a per-person basis, in line with the package selected. The minimum guest count is 20 persons — if fewer guests attend, the minimum 20-person charge still applies. All prices are exclusive of applicable taxes (GST and any other government levies).

4.2 Payment Schedule
Birthday Parties
₹5,000 deposit
Non-refundable deposit at booking. Balance payable after event ends, on actual headcount or minimum — whichever is higher.
Corporate Events
50% advance
50% of the agreed total to confirm. Balance payable after the event slot ends.
School Trips
As agreed
Booking and payment terms agreed with the school in writing prior to the visit.
4.3 Payment Modes
  • Online payments via Razorpay (UPI, cards, net banking, wallets)
  • Cash at the venue, in compliance with Indian tax laws
  • An additional 3% surcharge applies to all card payments
4.4 Add-ons & Extras

Any additional services, food, decorations, or guests confirmed during or after the event will be added to the final bill.

Cancellations, Postponements & Force Majeure

5.1 Cancellations
The ₹5,000 booking deposit is strictly non-refundable under any circumstances. For corporate events, the 50% advance is also non-refundable upon cancellation by the client. This applies regardless of when the cancellation is made — there is no cooling-off period or partial refund.
5.2 Postponements

Bookings may be postponed and the deposit/advance adjusted toward a future event, subject to:

  • Availability of the requested new date and slot
  • The new event taking place within 6 months of the original date
  • No additional postponement after one rescheduled date has been confirmed
5.3 Force Majeure

Botfit shall not be liable for any failure or delay due to circumstances beyond reasonable control, including acts of God, natural disasters, pandemics, government orders, lockdowns, civil unrest, or utility failures. In any such case, Botfit will work in good faith to reschedule to a mutually convenient date. No refund will be issued.

5.4 Sickness or No-Show

Botfit is not responsible for guest sickness, last-minute drop-outs, or no-shows. Charges remain payable as per Section 4.

Arrival, Time & Slot Rules

  • Please arrive 15 minutes prior to your scheduled slot — our staff will be preparing your event.
  • The standard play area duration is 1.5 hours. Cafeteria use for cake-cutting and dining may continue beyond this.
  • If guests overstay in the play area beyond the allotted 1.5 hours by 30 minutes or more, an additional charge of ₹5,000 applies — only if Botfit permits the extension at its sole discretion. Botfit may decline based on subsequent bookings.
  • The Event Host is responsible for ensuring guests vacate the play area on time.

Outside Items & Vendors

What is not allowed
Outside food and beverages (other than the birthday cake) are strictly not permitted — in or outside the play area. All food and drinks must be ordered from BotCafe or as part of your package. Any item deemed unsafe, inappropriate, or disruptive by Botfit is also not permitted.
Decorator coordination

Outside decorators must coordinate with Botfit in advance regarding setup time, placement, and removal. Damage caused during setup or teardown will be charged to the Event Host (see Section 11).

Venue & Play Area Rules

For the safety, hygiene, and enjoyment of all guests:

8.1 No shoes in the play area. All footwear must be removed at the entrance to the activity zone.
8.2 No eatables, drinks, chewing gum, or candies inside the play area — hygiene and choking hazard prevention.
8.3 No personal items such as toys, sharp objects, jewellery, or watches in or around the play area.
8.4 Children with injuries, illness, fever, or contagious conditions are not advised to use the play area. Entry is at the parent's risk.
8.5 Age restrictions apply to certain zones. Guests must follow zone signage and staff instructions at all times.
8.6 Guests may relax in the cafeteria area for an extended time. Smoking is only permitted in the designated outdoor area.
8.7 Alcohol is permitted only with Botfit's prior written permission. Unauthorised alcohol will be confiscated.
8.8 Pets are permitted (leashed at all times). Owners are fully responsible for behaviour and hygiene. Pets are not allowed in the play area or cafeteria food zones.

Guests must follow all instructions from Botfit staff and posted signage at all times.

Supervision & Safety

The Event Host and accompanying parents/guardians are responsible for the supervision of all children for the entire duration of the visit, except as set out below.

During scheduled activity time only, our trained co-ordinator will assist with supervision. Outside scheduled activity time (cafeteria, cake-cutting, free time, before/after the slot), parents and guardians remain solely responsible.

Every guest, parent, or guardian must sign a Consent and Liability Waiver Form before entering the play area. Children are permitted only after a parent/guardian has signed on their behalf.

By signing the consent form, the parent/guardian confirms the child has no medical condition that would make participation unsafe, acknowledges the inherent risks of physical play, and permits use of photographs/videos as set out in our Privacy Policy (subject to opt-out).

The Event Host must promptly report any incident, injury, or concern to Botfit staff.

Liability & Disclaimers

Use of the play area, equipment, and facilities is at your own risk. Botfit is not liable for any injury, accident, harm, or loss suffered by any guest or child during their visit.

Botfit is also not liable for:

  • Loss, theft, damage, or exchange of any personal items including bags, phones, jewellery, gifts, or clothing
  • Allergic reactions arising from food, decoration materials, or any items at the venue (guests are responsible for disclosing allergies in advance)
  • Any indirect, consequential, or special damages

Botfit's maximum total liability under any booking shall not exceed the amount paid by the Event Host for that specific booking, to the extent permitted by law.

Nothing in these Terms excludes or limits liability that cannot lawfully be excluded under applicable Indian law.

Damage to Property

Any damage caused to Botfit's property, equipment, fixtures, decoration items, or third-party items by the Event Host, guests, or invitees will be charged to and paid by the Event Host.

Botfit will assess damages reasonably and provide a written summary. Charges may be deducted from any pending balance or invoiced separately.

Lost & Found

  • Items found at the venue will be held for one week from the date of discovery.
  • Unclaimed items after this period may be disposed of, donated, or discarded at Botfit's discretion, with no further liability.
  • Guests are encouraged to check all belongings before leaving the venue.

Right to Refuse Service & Removal

Botfit reserves the right, at its sole discretion, to refuse entry, decline or cancel a booking, or eject any guest from the venue without refund, in cases including but not limited to:

  • Intoxication or disruptive / aggressive behaviour
  • Violation of these Terms
  • Harm or risk to other guests, staff, or property
  • Non-compliance with staff instructions

Photography & Privacy

Guests may take photographs and videos of their own party and family members for personal use. Guests must respect the privacy of other visitors and must not photograph or record other guests' children or families without consent.

Botfit may capture photographs and videos at the venue for marketing and record-keeping. Use of guests' images is governed by our Privacy Policy and the signed Consent Form. You may withdraw consent for marketing use at any time.

Website Use

Use of www.botfit.in is for personal, non-commercial use only. You may not:

  • Copy, reproduce, or republish content without written consent
  • Attempt to disrupt, hack, or reverse-engineer the site
  • Use bots, scrapers, or automated tools
  • Post unlawful, offensive, or infringing content

All content on the website — including logos, images, text, branding, packages, and the names "Botfit," "Jevika & Joy's World," "BotCafe," and related marks — is the property of Botfit or its licensors and is protected under applicable intellectual property laws.

Information on the website is provided "as is." We do not guarantee uninterrupted access or that the site will be free from errors.

Indemnity

The Event Host agrees to indemnify and hold harmless Botfit, its directors, employees, agents, and contractors from and against any claims, damages, losses, liabilities, costs, or expenses (including reasonable legal fees) arising out of or related to:

  • Breach of these Terms by the Event Host or their guests
  • Damage to Botfit property or third-party property
  • Injury to any person caused by the Event Host or their guests
  • Misuse of the venue, equipment, or services

Privacy

Your personal data is handled in accordance with our Privacy Policy. By accepting these Terms, you also acknowledge our Privacy Policy.

Modifications to Terms & Services

Botfit reserves the right to modify these Terms at any time. The updated version will be posted on the website with a revised "Last Updated" date.

Botfit reserves the right to modify packages, pricing, activities, or operating hours at any time without prior notice. Confirmed bookings will be honoured at the agreed terms unless otherwise mutually adjusted.

Governing Law & Jurisdiction

These Terms are governed by the laws of India. Any dispute arising out of or in connection with these Terms will be subject to the exclusive jurisdiction of the courts at Gurugram, Haryana.

The parties shall first attempt to resolve any dispute through good-faith discussion before initiating legal proceedings.
